Champion Chip Timing Service

 

1.  The organisers supply us with entry details for each runner. The data needed is Race No, Forename, Surname, Sex, Age or DOB, Team, any other categories (i.e. Championship entry, local runner etc). We also require details of the prize list and team qualification. This data can be emailed to us in any format or copies of the entries posted to us. We normally contact the organisers a couple of months before the race to discuss their chip requirements and for them to commence sending runners entry details and prize listings. We can provide a full entries service, but this will be at an additional cost (our charges for the entry service exclude envelope, postage, race number, enclosures etc). 2.  We will produce entry lists for the organisers, commentator, referee etc. If required, we are able to supply entry details on a laptop PC for use by the commentator (additional cost).

 

3.  16 days prior to your race date we will provide you with the Champion Chip, ankle strap, fitting and return instructions for posting out with the race numbers and information pack. The courier fees will be charged at cost (approx £19 per 1000). The Champion Chips will be contained in individual envelopes marked with a race number. It is imperative that the correct chip pack is dispatch with the corresponding race number to the entrant. The chips are more than 5mm thick and therefore under the new Royal Mail postal charges they are classified as a large letter (Postage costs1st Class 52p and 2nd Class 42p). For runners who do not start the race we provide a freepost returns service for their unused Champion Chip. If a runner forgets their chip on race day they will not be timed. Prepared ChampionChips envelopes requested by the organisers but not issued, i.e. too many ChampionChips requested for the race entry will be charged at 25p per prepared envelope (e.g. 1200 envelopes requested with 1100 runners entered. The preparation cost = 100 x 25p). These charges are necessary to cover our preparation time and cost of envelopes etc.

 

4.  Champion Chip entries ‘on the day’ are possible, but this will require a significant amount of additional work. Our experience shows that if a race is advertised as ‘No Entries On The Day’, race numbers do not suffer. The individual timing accuracy and reduced finish area congestion that Champion Chip provides to the runner is worthy of them entering before the closing date. On the day entries are charged at 60p per entry and this fee should be included within the late entry fee. It is recommended that race organisers consider closing entries 7 days before the event. Experience shows race numbers do not suffer if this is the case. This will reduce the race administration load by allowing the replacement of any race pack that go astray in the post to be carried out in the week before the race. No more 'On The Day' panics.

 

5.  We carry out Champion Chip electronic timing at the start and finish line. See the Champion Chip website for further details. The timing system provides a 4 metre wide start and finish area. If the start and finish area is wider than 4 metres the race organiser must provide a barrier system or we can provide, at an extra charge, a 6 or 8 metre wide system. Please contact us for details of costs of the wider options. Cones or plastic barriers are best as metal barriers may affect the mat electronics. Metal manhole covers must also be avoided 1 metre behind and 4 metres in front of the start line and 1 metre in front and 4 metres behind the finish line. Please email us photographs of the start and finish if there are concerns. If the start is on a public highway a road closure may be required to ensure the timing mats can be laid without continual traffic disturbance. The Champion Chip electronics requires us to park our vehicle close to both areas whilst recording times. If the start and finish line are apart we may have to provide additional Champion Chip hardware, please contact us for costs. We operate solely from our vehicle and do not require any external services. The Champion Chip system requires no funnel system or recorders. We provide a rebate on our costs for each Champion Chip returned to us on the day. To facilitate this it is recommended the organisers cordon off an area and provide a couple of helpers to ‘remind’ runners to remove the Champion Chip and strap and place in the return bins, which we will provide. 6.  We produce results in real time which can be posted for runners to see. We produce prize listing sheets of Individual and Team prize winners for your presentation.

 

7.  Once the race is complete we leave you with a printout of the results and a floppy disk containing the entry and results in txt (any word processor or notepad) and csv (any spreadsheet) formats. Due to the impending demise of floppy disks we intend to replace the floppy disk with an email containing the results in txt and csv file format.

 

8.  We post the results on this website http://www.jandresults.co.uk where the runners have a link to a pdf document of the results. We also send the organisers, by email, a PDF document and Excel Spreadsheet of the results and entry for use with their permit return or to send to runners who have ordered results.

 

9.  Travel to the event is charged at 39p per mile. Overnight accommodation, if required, is charged at cost.

Standard Manual Timing Service

 

1.  The organisers  supply us with entry details for each runner. The data I need is Race No, Forename, Surname, Sex, Age or DOB, Team, any other categories (i.e. Championship entry, local runner etc). We also require details of the prize list and team qualification. This data can be emailed to us in any format or copies of the entries posted to us. We normally contact the organisers a couple of weeks before the race for them to commence sending the runners entry details and prize listings.

 

2.  We will produce entry list for you, commentator, referee etc.

 

3.  If you take entries 'on the day' we arrive and set up out computer behind your late entry desk to input that data. We are totally self contained and have no power requirements from you. We produce additional entry lists of the late entry data for commentator, referee etc. If required, we are able to supply entry details on a laptop PC for use by the commentator, (additional cost).

 

4.  We carry out electronic timing at the finish line. This requires us to park our vehicle beside and behind the finish line with a view through the finish. We operate solely from this vehicle and do not require any external services. This is not our Champion Chip timing, but the manual use of an electronic stopwatch which download times automatically into our results program. This reduces the time it takes for us to start producing results. If you have timekeepers we will ensure our clocks are aligned and therefore the results reflect the timekeeper’s timings.

 

5.  We then collate the results from your funnel sheets. The organisation of the funnels and the recording of race numbers are carried out by your staff/volunteers. We can supply the printed funnel sheets for your use. I also bring waterproof paper with me just in case.

 

6.  We produce results in real time which can be posted for runners to see. We produce prize listing sheets of Individual and Team prize winners for your presentation.
